Privacy Policy

1. Privacy at AssurvAI

AssurvAI provides adaptive AI-assisted interviews and polling. This policy explains how we handle information when you use our website, create or manage polls, participate in interviews, receive invitations, use voice features, or manage billing.

2. Information we collect

  • Account and customer information: names, email addresses, organization and workspace information, and account and authentication data.
  • Respondent information: depending on poll configuration, names, email addresses, respondent identifiers, access or resume data, and interview responses.
  • Interview content: questions, typed answers, submitted voice transcripts, committed Realtime utterances and transcripts, final comments, evidence, results and findings derived from responses, timestamps, and completion information.
  • Operational data: performance and latency measurements, AI model and provider usage, token and audio usage, accounting information, and security and rate-limit data.
  • Billing information: Stripe identifiers, subscription, invoice and payment status, and usage and billing metadata.

AssurvAI does not currently provide dedicated fields for collecting respondent postal addresses or telephone numbers. Users may voluntarily include these or other personal details in free-form interview responses or poll content.

3. How we use information

We use information to operate accounts and workspaces, deliver invitations and authentication links, conduct and resume interviews, generate adaptive follow-up questions, evaluate configured targets and requirements, and produce findings and results.

We also use information to provide voice features and customer support, maintain security and prevent abuse, diagnose reliability and performance, manage billing and accounting, and meet legitimate legal and accounting obligations.

4. Interview and respondent data

Interview content is stored so the customer conducting the poll can review responses, results and supporting evidence. Administrators may see this content according to their customer and poll permissions.

Answers can contain personal information even when the poll does not ask for it. Consider what you share, including information about other people. The organization conducting the poll determines its questions and how it uses the results.

5. AI and voice processing

Configured AI providers, including OpenAI and DeepInfra, process poll-design and interview content for adaptive questioning, response interpretation, target and requirement evaluation, and findings. The provider used depends on the feature and configuration.

When you activate microphone features, audio is transmitted for transcription or Realtime processing. OpenAI supports transcription and Realtime conversation. AssurvAI does not currently persist raw respondent microphone recordings. Submitted transcripts and committed voice responses may be stored as interview content.

ElevenLabs may receive question text to generate speech. Generated question audio may be cached temporarily; this is separate from respondent microphone audio. Provider-side retention is governed by the relevant provider arrangements; this policy does not specify provider retention periods.

6. Cookies and browser storage

We use essential and functional browser technologies for authentication, demo ownership and state, Builder continuity, interview continuity and resume, and completion confirmation.

AssurvAI does not currently use these technologies for behavioral advertising, retargeting, or cross-site marketing tracking. See Cookies & Browser Storage for details, including interview access data held in session storage.

7. Billing and payments

Billing uses Stripe-hosted Checkout and Customer Portal. Stripe may collect payment and billing information, including a billing address, directly in its hosted experience. Phone collection is disabled in AssurvAI’s current Checkout configuration.

AssurvAI stores identifiers, subscription and payment status, and usage metadata needed to manage billing. We do not store full card numbers, CVVs or bank-account credentials in our application database. A billing address collected by Stripe is not an AssurvAI customer-profile address field.

8. Anonymous interviews

When a poll is configured as anonymous, respondent identity is not presented alongside responses, results, evidence, analysis or diagnostics in ordinary administrative result views and exports.

For invited anonymous interviews, contact information may still be used operationally to deliver and manage the invitation and access, while respondent identity is not presented with their interview responses and results. Anonymous mode does not mean AssurvAI never possesses an invitation email address.

The content of an answer may itself identify you if you choose to disclose identifying details.

9. Data retention

The following rules describe retention and cleanup eligibility. Cleanup depends on maintenance processes; scheduled automatic cleanup is not currently enabled. These periods do not promise deletion at an exact time or a daily cleanup schedule.

Application retention rules
InformationRetention rule
Active customer researchCustomer-controlled research content remains stored while needed for the customer’s polls, unless archived or permanently deleted. No automatic age-based deletion currently applies to active research content.
Archived interviewsThe recovery period is 90 days. After 90 days, archived interviews become eligible for permanent erasure through our interview-erasure process.
Demo dataDemos are temporary, with a current lifetime of 24 hours. Expired demo data is eligible for cleanup.
Operational telemetrySelected operational timing and latency records become eligible for removal after 90 days. Records needed for active operations or unresolved accounting are retained.
Diagnostic error textApplicable free-form error text becomes eligible for sanitization after 30 days. Structured status, usage and accounting information may remain.
Authentication recordsExpired session and login-token records may be removed after their expiry date plus a 30-day grace period. Currently valid records are preserved.
Generated question audioDynamic generated speech expires after 1 day; static generated speech expires after 30 days. Physical files are removed through cache-maintenance processes.
Email delivery metadataHistorical delivery metadata may remain stored because invitation reminder limits depend on delivery history. A fixed deletion period is not currently implemented.
Financial and accounting recordsRecords may be retained longer for billing, reconciliation, audit, and legitimate legal or business purposes. A final retention duration has not yet been established.

Backup retention may differ from application-level retention and is subject to our infrastructure and recovery procedures. A backup deletion period has not yet been established. Provider-side retention periods are separate from these application rules.

10. Archive and permanent deletion

Archive interview

Archiving removes an interview from active lists, Results and analysis. Its content remains stored for recovery during the 90-day recovery window. Restoration is currently handled through platform support. Archive is not deletion.

Delete permanently

Permanent deletion erases respondent-derived interview data through our erasure process and cannot be restored through the service. It also removes saved poll analysis that may contain findings derived from the interview.

Some detached financial and accounting records may remain where needed. By design, these retained records do not retain deleted interview content. Generated speech follows its separate cache expiry and maintenance process because the cache does not have precise per-interview ownership.

11. Service providers

  • OpenAI: AI processing, transcription and Realtime voice.
  • DeepInfra: AI model processing where configured.
  • ElevenLabs: generated speech from question text.
  • Microsoft 365 or configured SMTP services: email delivery.
  • Stripe: hosted payments and subscription billing.
  • Hosting and infrastructure providers: operating and supporting the service.

Not every provider is used for every customer or interview.

12. Security

Our safeguards include authentication and session controls, tenant-scoped authorization, cryptographic token handling, protected respondent access grants, rate limiting, restricted platform administration, and retention and erasure processes. No service can guarantee absolute security.

13. Your choices and rights

Depending on your location and applicable law, you may have rights to access, correct or delete information, restrict or object to processing, obtain portable copies, or opt out of certain processing where applicable.

If you participated in an interview created by an AssurvAI customer, the organization that invited you may be the best first contact for requests concerning that interview. In many cases that customer controls the respondent relationship and the use of the interview data.

You can choose whether to activate voice features and can manage browser storage through your browser. Blocking necessary storage can prevent sign-in, demo access or interview continuity.

14. Children

AssurvAI is not designed specifically for children. Customers are responsible for using the service in accordance with applicable requirements when collecting information from minors.

15. Changes to this policy

We may update this policy as the service and its practices change. The date at the top identifies the latest update.

16. Contact

For privacy questions or requests, email admin@assurvai.com.

For questions about an interview, contact the organization or person who invited you. For workspace questions, contact your workspace administrator.
